# China Sourcing and Export Readiness Checklist

For overseas buyers, distributors, EPCs and project teams preparing to source PV modules, inverters, battery systems, PCS or BOS products from China.

Use this checklist before asking suppliers for a final quotation. It helps define the product, evidence, delivery responsibility and destination-market questions. It is not customs, tax, certification or legal advice.

## 1. Need and project boundary

- [ ] Destination country, final project location and application are confirmed.
- [ ] Product category, target power/capacity, quantity and required delivery window are stated.
- [ ] The requested scope distinguishes equipment-only, complete system and any design, commissioning, training or support.
- [ ] A responsible party has checked grid, voltage, phase, environment and installation conditions.
- [ ] Destination-market certification, grid or technical requirements are stated for qualified review.

## 2. Supplier and model evidence

- [ ] The quotation identifies the contracting entity, factory and exact model.
- [ ] Datasheet, product matrix and quoted model match.
- [ ] Certificates and test reports cover the proposed model and target market, not only a certificate cover page.
- [ ] Warranty text, performance conditions, exclusions and claim path are available.
- [ ] Product, nameplate, packing and key-component images are authorised and verifiable.
- [ ] Factory audit, pre-shipment inspection or third-party testing is planned where required.

## 3. Quotation and contract scope

- [ ] Included and excluded equipment, accessories, software and services are listed.
- [ ] Currency, validity, payment milestones, Incoterm and delivery point are clear.
- [ ] Packing method, dimensions, weights and container plan are confirmed.
- [ ] Spare parts, tools, software licences, protocols and training are explicitly included or excluded.
- [ ] Lead-time starting point and change, delay and cancellation handling are defined.

## 4. Logistics and import responsibility

- [ ] Exporter, importer, export declaration and destination clearance owners are named.
- [ ] HS codes, origin documents and dangerous-goods requirements are checked by qualified parties.
- [ ] Battery transport documents, packing and carrier conditions are confirmed early.
- [ ] Freight, insurance, port charges, duties, VAT/GST and inland transport ownership are written down.
- [ ] Arrival inspection, damage evidence and claim deadlines are agreed.

## 5. Installation, acceptance and after-sales

- [ ] Local design, permit, installation, commissioning and grid-connection owners are identified.
- [ ] Arrival, installation, commissioning and performance acceptance each have a signatory.
- [ ] Acceptance criteria, records, photos/logs and non-conformity handling are documented.
- [ ] Support language, working hours, response path and escalation contacts are confirmed.
- [ ] Spare-parts location, replacement capability and warranty evidence requirements are known.

## Produce a one-page buyer brief

Summarise: country and application / product and quantity / included scope / standards and evidence / trade and delivery / local implementation owner / acceptance signatory / service route / largest remaining gap.

## Boundary

This checklist supports preparation and responsibility mapping. Qualified professionals responsible for the project must confirm certification applicability, engineering, customs, tax, sanctions and export controls, contracts and insurance.
